Only chairs, tables and frames are included in your meeting room booking. We will do our best to fulfil your request.

Please ensure you have stated how many chairs, trestle tables and frames you will require. Only what is requested on this booking form will be available in your meeting room.

Any chargeable extras will be added to your invoice. Should you wish to order any extras or change your order, please do so no later than 1st August 2022. After this date, a £10 per item administration fee will apply.

How many frames do you need? (These will be provided on a first come first served basis as we have a limited number so please only specify how many you need.) *

Digital Advertising is available at a cost of £50+ VAT per advert. Displays rotate on a loop. To take advantage of one of the digital advertising screens located around the venue please tick this box. You will be contacted nearer the time to confirm your advert content. *

Please note that the hard copy PTS Collector Handbook/Show Guide is included in the Wednesday ticket price (£10 per visitor), and will be priced at £5 per copy for the free entry days (Thursday - Saturday) or if Wednesday visitors would like additional copies.

Terms & Conditions - Your Electronic Signature

It is up to the meeting room requestor to obtain appropriate insurance (for any item values, public liability and other aspect relevant to specific business practices) for all areas of responsibility. The Philatelic Traders' Society Limited accept no liability for meeting room misfortunes. All vehicles, goods, equipment and alike are brought into The Business Design Centre at your own risk. *

By ticking this box you are confirming that you will have the adequate insurance cover for your needs during your meeting room hire

Cancellations: 

For meeting room hire cancellations on or before the 31st July 2022, 25% of the total payment will be retained. For cancellations between the 1st August 2022 and 31st August 2022, 50% of you total payment will be retained. Cancellations of meeting room hire after the 31st August, full hire and any invoiced extras will be retained. In the case of a cancellation after the 1st August, where the meeting room in question is resold, the PTS may refund a higher % of the remaining invoice balance at its discretion.

Risk Assessment:

By ticking the box below, you are confirming that any areas of risk have been assessed and that necessary actions have been taken to avoid a risk being realised. By ticking the box, you are also confirming that any areas of risk that you have identified have been shared with The Philatelic Traders Society Limited at the time of contract and that you agree to sharing any new risks identified with The Philatelic Traders Society Limited in a timely manner, no later than the 31st August 2022. The Philatelic Traders Society Limited reserve the right to decline your application for meeting room hire should any risks be deemed unacceptable.

Opening times and meeting room set up / leaving rules

Please note the new show opening times:
Wednesday 28th September: 10:30 - 17:30
Thursday 29th September: 10:30 - 17:30
Friday 30th September: 10:30 - 17:30
Saturday 1st October: 10:30 - 16:00
Meeting Room Hire members will not be permitted early access to the show.
The show will be closing at 16:00 on Saturday the 1st of October and all meeting rooms must be vacated at this time.
